Chase Guardian Consent for Your Minors
How academy owners and managers use the Minors page to see which minors still need a guardian's consent for upcoming events, and to remind those guardians in one step.
Applies to: Academy owners and managers
A minor can't be checked in until a guardian has given consent. The Minors page shows, in one place, every upcoming registration of your academy's minors that needs a guardian's consent, who the guardian is, and lets you remind the guardians who haven't acted yet.
Open the Minors Page
In your academy admin menu, choose Minors. Only the academy's owners and managers see it. The page lists upcoming registrations of minors who are active members of your academy. A minor registered for two events appears twice.
Filter by Consent State
Five chips sit above the list, each with a count: All, No guardian consent, Awaiting consent, Consent given and Withdrawn. Choose one to filter the list. The counts cover all pages.
- No guardian consent: no guardian is on file for the minor, so nobody can be asked yet.
- Awaiting consent: a guardian is known but consent isn't complete. This also covers a consent that doesn't yet meet the event's minimum verification level.
- Consent given: the guardian has consented and it is enough for the event.
- Withdrawn: the guardian took their consent back.
Each row shows the minor's name, the event and its date, the guardian's name and phone when one is on file, and the state. A small note tells you when the guardian was last reminded, or "Reminded today".
Remind the Guardians
- Tick the rows you want to chase. Only rows a reminder can actually reach have a checkbox: awaiting consent, with a guardian email, and not already reminded today. Select all awaiting consent on this page ticks all of them at once.
- Choose Remind guardians. The button shows how many rows are selected.
- A confirmation tells you how many registrations and how many guardians will be emailed. Choose Send reminders to go ahead.
Each guardian gets one email, even when they are the guardian of several of your minors: siblings are grouped. You can select at most 50 registrations at a time.
One Reminder Per Registration Per Day
A registration is reminded at most once a day. The automatic reminders also run daily, so a reminder you send counts as that day's reminder and the automatic one skips it.
When it's done, a message says how many guardians were emailed and how many registrations were skipped. Registrations are skipped when the guardian was already reminded today, has no email, can't be reminded, or when too many reminders went to the same guardian in a short time. Try again later for the last case.
When There Is No Guardian
A row in No guardian consent has an Open event link. It opens the event's page in your academy admin, where you manage the athlete's registration. A reminder can't be sent until a guardian is on file, so the row also has a Name guardian button: enter the guardian's name, relationship and email and accept the declaration. The guardian gets the confirmation email and the row moves to Awaiting consent, where it can be reminded. If the family declares a guardian first, the button is gone the next time you open or refresh the page.
Children You Are Accompanying
Below the list, Children you are accompanying shows the minors a guardian has asked you to accompany at an upcoming event, with the event, its date and the guardian's phone number. The guardian's private notes for the delegate are never shown here. If no guardian has asked, the section says so.
