Set Limits on What Your Organizers Can Do

Create an organizer grant to decide how freely an organizer can set specialities and fees, whether events need your approval, and which options they may use.

Applies to: Organization admins · Academy admins

An organizer grant narrows what one organizer may do on your behalf. Without a grant, that organizer is unconstrained. With one, you choose how much freedom they have over specialities, pricing and payouts, and whether you review their events before the public sees them.

Grants exist on both the organization admin area and the academy admin area. The form is the same, with one difference: allow-lists (see below) are edited in the organization version, while academies set them after the grant is created.

Open the Organizer Grants page

From your admin dashboard, open Organizer Grants. The table lists every grant with the organizer's email, the two modes, whether payout is locked, whether approval is needed, the maximum amount and the status.

Create a grant

  1. Click New Grant.
  2. Pick the person under Organizer. The list shows your active organizer members (see Members and Trusted Organizers). Academies list their owners and managers instead.
  3. Set the options described below.
  4. Click Create Grant.

Each organizer can have one grant per organization or academy.

The options

Speciality Mode and Pricing Mode

Both fields offer the same three levels:

  • Free: the organizer has full control. This is the same as having no grant for that dimension.
  • Template only: the organizer must apply a template, but can still adjust it afterwards.
  • Template locked: only pre-approved templates, with no manual edits. Events built this way carry the Official Event badge for athletes.

Speciality Mode governs the speciality templates (see Specialities and Templates). Pricing Mode governs fee templates (see Fee Templates for Organizations). You can lock one and leave the other free.

Lock payout routing

Tick Lock payout routing (organizer cannot change payout account) when funds must go to an account you control. The organizer then cannot pick a different payout account on their events. Set your accounts up first: see Connect a Payout Account.

Require admin approval

Tick Require admin approval before event can be published and the organizer's events wait for your review before they can go public.

Max fee amount

Max fee amount (EUR, optional) caps any fee the organizer sets. Leave it empty for no cap. The value must be above zero.

Restrictions (Allow-lists)

After you create a grant, edit it to see Restrictions (Allow-lists). Each list narrows one dimension:

  • Allowed Speciality Templates
  • Allowed Fee Templates
  • Allowed Leagues
  • Allowed Regions: pick a country, optionally a region, and click Add Region.

An empty list means no restriction. The moment you tick one item, the organizer can use only the items you ticked. If a mode is set to Template only or Template locked and the matching list is empty, the page warns you that any template is still allowed.

Change, pause or end a grant

Open the actions menu on a row to Edit, Suspend or Revoke the grant. Suspending is temporary. Revoking is final: the grant cannot be reactivated, and the organizer becomes unconstrained again. If you want limits back, create a new grant.

Frequently Asked Questions

What happens to an organizer with no grant?

They have no limits. A grant only ever narrows what they can do.

Does a grant affect events already created?

The grant applies to what the organizer does from now on. Check an existing event's fees and speciality setup after you lock a mode.
