Connect a Stripe Payout Account for Online Payments

Connect a Stripe account so athletes can pay registration fees online and the money reaches you. Covers the setup steps and how an event picks its account.

Applies to: Organization admins · Academy admins

A payout account is the Stripe account that receives the registration fees athletes pay online. You connect it once, then choose it on each event that takes online payments. Events with no payout account still work: fees are collected by hand.

Before you start

Online payments are switched on per organization or academy by the Hajime team, not by you. Until that happens, the Payout Accounts page is not available: opening it sends you back to your dashboard with a message that payout accounts are not enabled. Fees, bundles and fee templates still work, and athletes can pay at the venue. If you want online payments, contact Hajime support and ask for them to be enabled for your organization or academy.

You also need the details of the Stripe account's owner at hand, since Stripe asks for them during setup.

Connect an account

  1. Open Payout Accounts from your admin area.
  2. Click New Account. The Connect a Stripe Account window opens.
  3. Fill in the fields:
    • Country code: the two-letter country of the account, for example IT.
    • Display name: how you will recognise the account in Hajime and when choosing it on an event. If you leave it empty, Hajime shows Stripe's account identifier instead.
    • Account email (optional): the contact email for the Stripe account.
  4. Click Continue to Stripe.

Stripe then takes over and walks you through its own onboarding: identity, business details and bank account. If you close the tab before finishing, or the Stripe link expires, you come back to Hajime and can restart from Stripe's prompt, which opens a fresh link.

Wait for the account to turn Active

When you finish on Stripe you return to the Payout Accounts page with a message that your setup was submitted. The status is not instant. Stripe confirms the account to Hajime a little later, and the badge updates by itself.

Each account shows one of these statuses:

  • Pending: created, onboarding not finished.
  • Onboarding Complete: details submitted, Stripe has not yet enabled it for payments.
  • Active: ready to receive money.
  • Restricted or Restricted Soon: Stripe needs more information from you. Open the Stripe dashboard for that account to resolve it.
  • Disabled: no longer usable.

Online checkout needs an account that is Active. Until then, athletes see the amount and "Pay at the venue".

Choose the account on an event

Organizers pick the account on the event's fees screen, in the payment settings:

  1. Open the event's fees tab (see Setting Event Fees).
  2. Set the payment mode so that online payment is allowed ("Online or at the venue" or "Online, required").
  3. Under Payout Account, select the account.
  4. Click Save Payment Configuration.

The list contains the accounts of the event's organization, or of its main academy when the event belongs to an academy. If you leave the choice on "None (manual)", the event collects fees manually. The Payout Account block only appears once at least one account exists and online payments are enabled.

If a grant locks payout routing for an organizer (see Set Limits on What Your Organizers Can Do), they cannot switch the account on their events.

What athletes see

Once an event has an Active account and an online payment mode, athletes pay by card on their payment page. See Athlete Payment System for the athlete side.
