Require Documents for Your Event

How to require a medical certificate or a membership card for your event, what counts as valid, what athletes and guardians see, and how check-in staff accept an athlete without documents.

Applies to: Event organizers and check-in staff

You can ask every athlete at your event to have a medical certificate, a membership card, or both on file. Athletes who don't can't be checked in until the documents are uploaded or the check-in desk accepts them without.

Turn the Requirement On

In the event form, find the Required documents group and tick Medical certificate, Membership card, or both. Leave both empty and nothing changes: no document is required. Save the event.

What Counts as Valid

A document counts when it is of the required type and has not expired on the event's start date. A certificate that expires on the day of the event is still valid. A document without an expiry date never expires. The membership card requirement is met by a card from any organization. Staff verification is not needed: an unverified upload counts.

What Athletes and Guardians See

An athlete who is missing a required document, or whose document expires before the event, sees a readiness warning that asks them to upload the required documents or contact the organizer. The check-in page lists which documents are missing. Guardians see the same for the minors they look after. If someone on the roster tries to check in an athlete without the documents, the message says the athlete is missing documents the event requires.

At the Check-in Desk

Open the athlete's check-in page. The Documents card shows This event requires with one chip per required document: Missing, Expired or Expires before the event until it is valid. While a document is missing, the athlete can't be checked in, one by one or in bulk.

Accept Without Documents

If you decide the athlete may compete anyway, choose Accept without documents. Write a note of at least 5 characters saying why, then choose Accept registration. The card then shows "Registration accepted without documents" with who accepted it, the date and your note.

  • The acceptance is recorded in the audit log, with who and when. Anyone who can check athletes in at this event can do it.
  • It covers the documents missing at that moment. If you add another required document to the event later, the athlete needs a new acceptance.
  • You can only accept confirmed registrations that are not already checked in.
