Require Conduct Acknowledgment for Your Event

How organizers of events that allow minors ask staff and coaches to confirm they have read the code of conduct and safeguarding policy, follow who still has to, and remind them.

Applies to: Organizers and event team members who manage the event's documents

For an event that allows minors, you can ask the adults around it to confirm they have read your code of conduct and safeguarding policy. Each person confirms once per version of a document, and you can see who still has to.

It is advisory. It never blocks a registration or a check-in.

Turn It On

In the event settings, tick Require conduct rules acknowledgment. The option only appears when the event allows minors. It asks staff and coaches to acknowledge the code of conduct and safeguarding policy linked to the event.

Link the Documents

Nothing can be acknowledged until a document is linked to the event. Open the event's Documents page and, under Link a Document, link a code of conduct or a safeguarding policy from your academy or organization. Only those two kinds count; rules and modules are not part of this.

The version you link is the one people acknowledge. If nothing suitable is linked, the Conduct acknowledgments panel on the same page tells you to link one first.

Who Has to Acknowledge

  • Staff: the organizer and everyone on the event team.
  • Coaches: the owners and managers of academies that have a registration in the event. An academy whose registrations are all withdrawn drops out.

Judges, athletes and guardians are not asked.

What They See

Each person with something to acknowledge sees a banner, Please acknowledge the event rules, with links to the documents. One click on I have read and accept records it. Staff see the banner on the event dashboard, coaches on their academy's page for the event.

Follow Progress and Remind

The Conduct acknowledgments panel on the Documents page shows a Required badge, the linked documents and a table with each Person, their Role (Staff or Coach) and the Status: Acknowledged or Pending.

Choose Remind to send a notification inside Hajime to everyone still pending. Each person is reminded at most once a day, and a message tells you how many were reminded. The button is hidden when nobody is pending. The event's readiness list also shows a warning while somebody is pending or no document is linked.

When You Link a New Version

Acknowledgments belong to a version. If you link a newer version of the code of conduct or the safeguarding policy, everyone is asked again.
