Record the Accompanying Adult at Check-in
How to require an accompanying adult for minors at your event, and how check-in staff record whether the guardian, a delegate or someone else is with each minor.
Applies to: Event organisers and check-in staff
A minor's guardian gives consent in advance, but the person who walks in with the athlete is often someone else. You can ask your desk to record who that is before each minor is checked in.
Turn It On
In your event settings, tick Require an accompanying adult for minors at check-in. The option appears once the event accepts minors. Its help text reads: check-in staff must record who accompanies each minor before checking them in.
With the setting on, a minor cannot be checked in until the desk has recorded who accompanies them. On the athlete's own check-in page the Check in button stays disabled and hovering it says to record who accompanies the athlete first. On the event's registrations list, Check In shows a message asking you to record who accompanies the athlete first. Adult athletes are not affected, and neither is any event with the setting off.
Record Who Is With the Athlete
Open the athlete's check-in page. The Who accompanies this athlete? card shows what is recorded so far, or says the event requires an accompanying adult before check-in. Choose one of:
- Guardian is present: the guardian who registered the child is at the desk.
- Delegate is present: the guardian designated a delegate for this event. This button only shows when there is one. The delegate's name appears on the card so you can match the person in front of you, with the phone and notes when the guardian gave them (a coach delegate shows the coach's name only).
- Accepted otherwise: someone else accompanies the athlete and you accept it, for example an adult with a signed paper from the guardian. A box asks Who accompanies the athlete?. Type a short note (up to 200 characters) and choose Save. The note is required.
Once recorded, Check in becomes available. You can change the choice until the athlete is checked in. Each record keeps who made it and when.
Things to Know
The delegate's phone and notes are personal data and are meant for the desk only. Don't copy them elsewhere. If a guardian wrote more than they should in the notes, don't pass it on.
A delegate never replaces the guardian's consent. If consent is missing, the athlete still can't be checked in, whoever is with them. Guardians can read how delegates work in Designate a Delegate for Your Child's Event, and consent is covered in Registering an Underage Athlete.
If a guardian revokes the delegate after you recorded Delegate is present, the record stays. Before you record it, a revoked delegate disappears from the card once the page reloads, and the button goes away with it. When the guardian has no account or there is no delegate, Accepted otherwise with a clear note keeps fight day moving.
