Send a Broadcast to Your Event's Registrants
Write one message, pick who gets it (everyone, one status, or one speciality), choose in-app or email, preview the recipient count, and review what you sent.
Applies to: Event organizers
A broadcast is a message you send to a chosen group of athletes registered for your event: a venue change, a weigh-in reminder, a payment nudge. You write it once and Hajime delivers it to each person.
Open the Broadcasts page
Open your event and choose Broadcasts in the event menu. You see the sent history and a New Broadcast button. Anyone on the event team with access to event settings can use this page. See Event Team and Delegated Access.
Compose the message
Click New Broadcast and fill in:
- Subject: up to 200 characters. Athletes see it prefixed with your event name.
- Message: up to 5,000 characters. The field supports Markdown, so you can use bold text, lists and links.
- Audience: who receives it (see below).
- Channels: In-App is always on. Tick Email to also send an email.

Choose the audience
| Audience | Who receives it |
|---|---|
| All Active Registrants | Everyone registered who is not withdrawn or disqualified. This includes waitlisted athletes. |
| Pending (not yet confirmed) | Registrations still waiting for confirmation |
| Confirmed | Confirmed registrations |
| Checked In | Athletes already checked in |
| Payment Pending | Athletes whose payment is pending or partial |
| Specific Speciality | Athletes entered in the speciality you pick in the extra Speciality field |
Each athlete receives the message once, even if they appear in several specialities.
Preview, then send
Click Preview. You see the message as athletes will read it, the audience, the channels, and a badge with the exact number of recipients. Use Edit to go back and change anything.
When you are happy, click Send and confirm the prompt that repeats the recipient count. Hajime shows how many people it was sent to and returns you to the history.
The list of recipients is fixed at the moment you send. Athletes who register afterwards do not receive an earlier broadcast. A sent broadcast cannot be edited or recalled, so read the preview carefully.
How it reaches people
Delivery happens in the background shortly after you click Send, in small batches, so very large events do not slow anything down. Athletes see the message in their in-app notifications, linked to your event page. If you ticked Email, they also get an email.
Each person's notification settings still apply. An athlete who turned off email for the Event announcements category will not get the email, though the in-app copy still arrives.
For minors, the linked guardians receive a copy as well. The guardian's copy starts with the athlete's name, and it follows the guardian's own notification settings.
Limits to know
- You can send up to 10 broadcasts per event in any 24 hours. After that Hajime shows Rate limit reached (max 10 broadcasts per event per 24h) and you must wait. Plan one clear message rather than several small ones.
- Subject and message length limits apply as above. If a field is too long or empty, Hajime asks you to fix the errors.
- If the audience resolves to nobody, the broadcast is still recorded with zero recipients, so check the badge in the preview.
Sent History
The Sent History list shows every broadcast, newest first: subject, a short excerpt, the audience, the author, the time, the number of recipients and the channels used.
